Notice of 26th Annual General Meeting

NOTICE OF 26^th ANNUAL GENERAL MEETING

Notice is hereby given that the 26^th Annual General Meeting of The Singapore Scout Guild (SSG) will be held by way of electronic means on Saturday, 24 July 2021, at 6 pm.

The Agenda of the meeting is as follows:

AGENDA

1 Opening Address by President, SSG

2 To confirm the minutes of the last AGM held on 28 August 2020

3 To receive and adopt the Annual Report of the Management Committee

4 To receive and adopt the Audited Financial Statements of SSG for the year ended 31 December 2020

5 To elect the Management Committee for the years 2021/2023

6 To elect two (2) Honorary Auditors for the year 2021

7 To discuss any other business, notice of which has been given to the Secretary at last one week before the date of the AGM

Attached are the following documents:

(a) Annual Report of the Management Committee

(b) Minutes of the last Annual General Meeting

(d) Nomination Form

The following documents will be provided at a later date as indicated below:

(a) Names of candidates nominated for election (after submission of Nomination Forms)

(b) Proxy Form for voting

Important notes to all members:

Given the prevailing COVID-19 situation, pursuant to COVID-19 (Temporary Measures)

(Alternative Arrangements for Meetings for Charities, Co-operative Societies and Mutual

Benefit Organizations) Order 2020, the conduct of the Annual General Meeting will be

adapted this year as follows:

(a) Members will not attend the Annual General Meeting in person. Members may only attend the Annual General Meeting by observing and listening to the proceedings of the meeting by electronic means. The administrative details for on-line attendance will be provided later.

(b) Members who may find difficulty in joining the meeting virtually from their location may contact SSA HQ staff, Ms Rachel Chan, at rachel.chan@scout.org.sg, who would arrange for such members to join the meeting virtually from SSA HQ.

(c) Nomination forms for election of candidates must be completed and submitted to the SSG either by post addressed to The Singapore Scout Guild, No. 1 Bishan Street 12, Singapore 579808 or by email to rachel.chan@scout.org.sg. The completed nomination forms must reach SSG by 10/07/2021 (12 noon) and be addressed to the Hon Secretary.

(d) Voting shall be made by proxy only by appointing the chairman as the proxy. The proxy forms will be provided to members shortly after the close of nominations on 10/07/2021. The proxy forms must be completed and submitted to the SSG either by post addressed to The Singapore Scout Guild, No. 1 Bishan Street 12, Singapore 579808 or by email to rachel.chan@scout.org.sg. The proxy forms must reach SSG by 17/07/2021 (12 noon), failing which it will be treated as invalid.

(e) You may exercise your right to vote only by appointing the chairman of the meeting as your proxy to vote at the meeting. In so appointing the chairman, you must give specific instructions with regards to voting or abstentions from voting in the proxy form, failing which the appointment may be treated as invalid. The voting forms will be provided to you in due course.

(f) A member may submit questions to the SSG either by post addressed to The Singapore Scout Guild, No. 1 Bishan Street 12, Singapore 579808 or by email to rachel.chan@scout.org.sg. The questions must reach SSG by 17/07/2021 (12 noon) and be addressed to the Hon Secretary.
